Online Meeting Guidelines

In order for the chapter to maintain the quality of the online chapter meetings, and for businesses to be done effectively, LT12 Membership Committee has formally drafted a set of Online Chapter Meeting Guidelines.

Attendance

Meetings officially start at 6:30 AM with open networking and end at 9:00 AM. The login cut-off time is 6:50 AM and members are required to stay until after the announcements portion of the meeting.
Members are highly encouraged to log in by 6:30AM to
- participate in Open Networking with members and visitors (building relationships), and
- to test out your audio and other settings before the actual meeting starts so that you can troubleshoot any matters in advance .
Lates and absences will follow the guidelines below:
- Member logs in at 6:51 or later - Late
- Meeting misses two of three checkpoints: at 6:51am, during weekly presentations, during contributions. If a member misses 2 out of 3 checkpoints, they will be marked absent

Meeting Etiquette

Attire. Our chapter meetings are business meetings where members are required to wear business-appropriate attire* and their BNI Pin and ID.

- female: blouse, dress, blazers
Just because you’re not absent, doesn’t mean you are present.
Setup. Members must take the time to set up properly* for the meeting so that they can keep their cameras on for at least 80% of the meeting and are required to turn on video for Breakout Rooms, Weekly Spiels and Contributions. This is a great opportunity to increase visibility and credibility during the meeting and also to show that members are ready to engage and show respect to the participants. Proper setup includes:
- Use a laptop so the whole screen can be seen
- Use the chapter virtual background
- Well lit and audience can see your face clearly
- Clear audio
If attending outside the office or the house, members must find a quiet place where he/she can focus on the entire meeting.
Your safety is the utmost priority. At any point, members are not allowed to take the meeting while driving.
If the member needs to be in transit for an emergency (passenger), the member must inform the Membership Committee; Community Building Chair prior to the meeting, otherwise will be marked as absent.

Consequences

Consequences for not following the guidelines in this policy will follow this escalation matrix:

Second consecutive week of not following the same guidelines	Accountability Letter 1 from Membership Committee
Third consecutive week of not following the same guidelines	Accountability Letter 2 from Membership Committee
Fourth consecutive week of not following the same guidelines	Membership Committee votes on the next step for the member - probation, coaching, etc.
